What we collect

• Details you give us when you get in touch or book a call: your name, company, email address, phone number and anything you tell us about your project.
• Information needed to deliver and invoice work if you become a client.
• Basic technical information when you use this website, such as your browser type and pages visited, if analytics cookies are switched on.

How we use it

• To reply to your enquiry and arrange calls (legitimate interests, or steps before entering a contract).
• To deliver projects and manage our relationship with clients (contract).
• To keep accounting and tax records (legal obligation).
• To occasionally tell business contacts about relevant work and services. You can opt out at any time (legitimate interests).

We don’t sell your data.

Who we share it with

We use trusted services to run the business, including Microsoft 365 for email, Calendly for booking calls, and our accounting and project management tools. They only process your data to provide their service to us. Some of these providers may store data outside the UK, in which case appropriate safeguards are in place.

How long we keep it

Enquiry details are kept for up to two years unless you become a client. Client and financial records are kept for six years to meet legal requirements.

Your rights

You can ask to see, correct or delete the personal data we hold about you, object to how we use it, or ask us to restrict its use. Email hello@chocolatecakemedia.co.uk. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

People who appear in our films

If you appear in a film we make for a client, we’ll ask for your consent before filming and explain how the footage will be used. Ask us or the client at any time if you have questions about footage you appear in.

Cookies

Cookies are small files stored on your device. This website uses:

• Essential storage to remember that you’ve seen our cookie notice.
• Third-party embeds: Calendly (booking), Google Maps and video players such as YouTube or Vimeo may set their own cookies when you use them.
• Analytics (only if you accept them): Google Analytics, loaded through Google Tag Manager, to understand which pages are useful. You can change your cookie choice at any time.

You can block or delete cookies in your browser settings. Some parts of the site, such as the booking calendar, may not work without them.
